Using Export Tables

1. When you first enter Export Tables a Select A Phase window will display with the following options:

CollapsedEXIT – Select Exit to exit the Export Tables option

 

CollapsedPhase 1 – Select Phase 1 to export Phase 1 tables

 

CollapsedPhase 2 – Select Phase 2 to export Phase 2 tables

 

CollapsedPhase 3 – Select Phase 3 to export Phase 3 tables

 

Phases are groups of data tables which would typically be worked on together as a company's system was being initialized. For instance, "Phase 1" tables include the primary system data tables like Customer, Vendor, and Items, while other phases contain secondary or supporting tables, such as Carriers, Freight Class, or COOL Identity.

Note: If a table is exported, and upon importing the table the system finds that values have been assigned for tables that have not yet been defined, the system will prompt the user to create an export table for the table with undefined values. For instance, if a table of customers is imported but has not been defined the Sales Rep table, the system will ask whether a Sales Rep export table should be created. See Import Tables for more information.

Scroll to the appropriate phase and press Enter.

2. A Select A File window will display. Scroll to the table that is to be exported and press Enter to confirm. When one is selected it will open the field list that you need to change and import back to Net•Yield.

3. A fields list table will appear displaying the fields that are available for export with the following header information:

 

Select the data fields to include in the export. The fields with an asterisk (*) are required and recommended fields; anything that does not have an asterisk is optional.

Scroll down the list of fields and press Enter to select the field and include it in the export. An asterisk (*) will display, confirming that the field has been selected. Or, press F9 to tag all fields. Press F3 to see the memo field of any selected field. When you have set up the export field list, press F10 to continue.

3. The following message will display: "Continue with (table name) export? No/Yes."

Select yes.

4. The following message will display: "Fill (table name).xls with Net Yield data? No/Yes."

 

5. The system exports the data and returns to the Select A Phase window to do another export.

The system has now placed the three exported files in Shared\NetYield\Data\Company name\Import folder. Each file is named using the phase, the file type, and version number and whether it is the export (the XLS spreadsheet), instructions (html), or schema (XML) file.

The date is entered or changed using the XLS file. The HTML file contains the following information:

 

The schema.xml file should not be altered by the user. If changed the XLS file cannot be Imported using the Import tables option It contains the file structures needed to import the file back into the system
